Position Context

Its mission is to build compelling education programs in partnership with the world’s best brands. Undergraduate (Collegiate) academic courses are validated by the University of Montana.

Manchester City Sports Business School (MCSBS) was created in 2022 to provide real life insights to students and professionals who want to know more about the business of football and sport. Those insights go far beyond the pitch and will get to the heart of sport as a continuously evolving global phenomenon and platform for creativity and entrepreneurs.

Role Purpose
The Programme Coordinator plays an essential role in the preparation and successful delivery of the Manchester City Sports Business School Undergraduate Summer programme. Reporting to the Senior Programme Manager, the Programme Coordinator will support the planning, developing, and execution of the program delivery and will assist in the overall operations to ensure a well-organized program.

As well as serving as a first point of contact for students and course leaders, the coordinator will liaise with administrative departments including facilities, IT and finance. They will also work closely with their colleagues to provide a shared and consistent administrative support to students and staff alike.

This is a fixed-term position which will require on-site support and will include some nights and weekends and other duties as required with reasonable notice provided.

For the successful delivery of the role, the Programme Coordinator is required to live in the provided accommodation for the duration of the programme; this is part of the on-call emergency response responsibilities, which is scheduled via the staff on-call rota.

Essential Duties and Responsibilities

  • Work with course leaders and the Programme Team to facilitate the coordination and delivery of Undergraduate Summer programme.
  • Support all on-the-ground operational processes to ensure the smooth execution of programmes, including but not limited to scheduling, catering, transport, faculty support, and site visits.
  • Support contractor (guest speaker) booking, contract, and payment processes.
  • Assist with ticket and supply purchases for all extra-curricular and co-curricular events.
  • Attend study trips in and around Manchester as required.
  • Collate information about programme income and expenditure. Ensure external lecturers and suppliers’ invoices are coded and submitted and provide information as appropriate and chase invoices as needed.
  • Prepare and distribute programme materials and resources to students and staff.
  • Via Canvas (Online Learning Platform), help maintain student portals so that students have online access to the timetable, course materials, assessment, set readings, and other resources as required.
  • Assist in organising and delivering student virtual pre-orientation sessions, in-person orientation sessions, and end of programme celebrations.
  • Monitor student welfare during programmes, escalating concerns to the Senior Programme Manager as necessary and appropriate.
  • Actively participate in staff meetings, regularly scheduled program planning meetings, weekly one-on-one meetings with supervisor, and other meetings as assigned.
  • Assist in collecting and analysing programme feedback to support continuous improvement initiatives.
  • Participate in the student emergency on-call staffing rota to support students out of class hours.

Essential Skills and Experience

  • Administrative experience, preferably within an educational setting.

  • Excellent communication and interpersonal skills and the ability to work effectively as part of a hard-working and friendly delivery team.
  • Possess student-focused approach, ensuring a safe, engaging, and high-quality experience for all participants.
  • Proficient in Microsoft Office: Word, Excel, Outlook, and PowerPoint
  • Proficient in/willing to learn the following systems, amongst others:
    • Canvas Learning Management System
    • Pronto Communication App
  • Adaptability, particularly to unexpected challenges, situations and ever-changing environments.
  • Willingness to be on location, in-person, during programme delivery, and flexibility to live in student housing when necessary
  • Some evening and weekend work will be required during programme delivery.
  • Must be legally authorized to work in the UK.

Desirable Skills and Experience

  • Educated to Degree level or equivalent.
  • Experience of offering pastoral care and support to students / young people.
  • First aid and mental health first aid trained.
